Reports to:  Associate Director of Events

Salary:  Based on experience

Classification:  Full-time Exempt

 

Organization Overview: Bike New York is a 501(c)(3) nonprofit whose mission is to transform lives and communities through bicycling. We accomplish this through free educational programming, dynamic public events, expansive outreach, and consistent collaboration with community and government organizations. Best known for producing North America’s largest bike ride—the TD Five Boro Bike Tour, ride for 32,000 cyclists through all five boroughs of New York City on 40 miles of car-free streets—Bike New York also organizes regional rides, small community rides, and one of the nation’s most-attended bike shows, Bike Expo New York. Proceeds from these events fund our free bike education classes for kids and adults throughout New York City. In 2017, we taught bike skills to more than 28,000 kids and adults.

 

Job Description:  Bike New York is seeking an Event & Volunteer Manager its mass participation events. The Event & Volunteer Manager’s role will focus on volunteer recruitment & management, vendor management, and general event support and logistics.The ideal candidate will be personable, organized, detail-orientated and share the organization’s mission. This is a full-time role that’s stationed within the events department. Some evening and weekend work required.

Duties will include, but will not be limited to: 

 

 Volunteer Management:

  • Cultivating and maintaining relationships with current active group of volunteer marshals, captains and super captains, acting as a point person for feedback and facilitating necessary changes
  • Recruitment of local (five borough, upstate NY, NJ) volunteers and volunteer groups, focusing both on community relations and innovating new ideas for means of recruitment
  • Preparing and updating documents for training and checking in of volunteers on event day
  • Lead volunteer orientation sessions and liaise with volunteers where necessary for preparation on event days
  • Manage an efficient and effective system for volunteer check-in and deployment across all events
  • Manage and maintain extensive Volunteer Management Software (Cervis) and create accurate reports
  • Collect feedback and recap information to improve processes year over year

 Vendor Management:

  • Procurement of event supplies and services such as toilets, catering, waste management, etc.
  • Management of all vendor contracts, insurance requirements, and cost negotiations
  • Management of all information flow to/from vendors and necessary parties
  • Collect feedback and recap information to improve processes for future

 General:

  • Oversight and management of seasonal Production Coordinator
  • Management of signage inventory, ordering, placement maps & plans
  • Update pertinent event documents as necessary (site maps, production schedules, event manuals)
  • Oversees correspondence of events-related email inboxes
  • Assist and troubleshoot items as necessary with Associate Director of Events

Requirements: 

  • An undergraduate degree and a minimum of 2-5 years of related event production experience, mass participation event experience preferred
  • Experience leading, engaging, mobilizing and recruiting a large workforce, preferably volunteers
  • Detail oriented with the ability to prioritize, and excel in high-pressure environments
  • Ability to work within a team, build relationships and work collaboratively throughout the organization and onsite
  • Strong interpersonal and customer service skills as an ambassador of Bike New York
  • Ability to multitask and delegate tasks where needed
  • Energetic and reliable go-getter who can motivate a team
  • Problem solver who focuses on solutions
  • Proficient in Microsoft Office and Google Suite
